What can I do before I arrive at MCW?

There are actions an investigator can take prior to arriving at the Medical College of Wisconsin.  The procedures below summarize how to transfer funds and/or research material from your current institution to the Medical College of Wisconsin.  In addition, once you have an MCW employee ID, you can proceed to register with eBridge.

 What is eBridge?

eBridge is a web-based software application used by the research community of the Medical College of Wisconsin/Froedtert Hospital and several of its research affiliate institutions in the review and processing of human research protocols, animal use applications (AUAs), Institutional Biosafety Committee protocols, and applications for grants and contracts.

Can I register with eBridge before arriving at MCW?

You can register with eBridge once you have obtained an employee identification number from MCW Human Resources.

How do I register with eBridge?

Once you have obtained an employee identification number from Human Resources, follow the steps below to register with eBridge:

  1. Type into the address bar of your computer’s browser: http://ebridge.mcw.edu or select the eBridge link from MCW’s intranet site InfoScope.

  2. Select the “Registration” link at the upper right of the screen:

  3. Complete all required fields, indicated by a red asterisk, with your MCW employee information.

  4. Select “Register” to submit the form to the eBridge Help Desk.

Following registration, it takes up to 24 hours for your account to be activated.

The eBridge Help Desk will email you your User ID, and information on how to log in from both the MCW network and from outside the MCW network. Your eBridge password is the same as your MCW network password.

If you forget your MCW network password, call the Help Desk at 414-955-8476.  Help Desk assistance with passwords must be conducted by phone and not by email.

How do I transfer...?

 Funds

Investigator must obtain a completed Relinquishment Statement from former institution allowing for funds to be released to MCW.  Contact the Office of Grants & Contracts for details.

 Human subject data or specimens

If an investigator wishes to transfer clinical or research records, specimens, samples or intellectual property, a Material Transfer Agreement (MTA) is needed.  Please contact the Office of Grants & Contracts (phone 414-955-4844) for information on obtaining an MTA.

 Animal data or specimens

If an investigator wishes to transfer research records, specimens, samples or intellectual property, a Material Transfer Agreement (MTA) is needed.  Please contact the Office of Grants & Contracts (phone 414-955-4844) for information on obtaining an MTA.

 Live animals
  • Before arranging to have animals shipped to the Medical College of Wisconsin, an Animal Use Application (AUA) should be initiated. This will require registration with eBridge:

If you would like assistance completing the online registration form or have questions about how to navigate eBridge, please email the eBridge Help Desk or phone 414-955-8476.  Specific questions about the animal research aspect can be directed to IACUCAdmin@mcw.edu

  • Contact the Biomedical Resource Center (BRC) regarding Animal Shipment Guidelines.  You will need to obtain and complete an Animal Shipment Request Form.  For investigators who have access to the MCW intranet site InfoScope, this form is available on the BRC web site: search for keywords “animal import” and select the link at the top.

  • All work with hazardous agents in the vivarium must be approved prior to onset of research by the appropriate safety committee (IBC, Hazardous Chemicals, Radiation Safety). The PI must review the hazardous nature of the animals with the animal husbandry staff via an Hazardous Agent Information Sheet (HAIS) during a scheduled meeting.  This and other animal research related forms are available through MCW's intranet site, InfoScope by searching for keywords “brc forms.”   Contact the BRC for more information.

 Radioactive material

The use of radiation and radioactive material at MCW and Froedtert Memorial Lutheran Hospital (FMLH) must be done with the prior approval of the Radiation Safety Committee. Clinicians wishing to apply for authorization to use radiation or radioactive material should read the Radiation Safety Guidelines, complete the appropriate form, and submit the application to the Office of Radiation Safety.  For questions, contact the Radiation Safety Office at 414-955-4374 or email RadSafety@mcw.edu.  Visit the Radiation Safety Web site for more information.
